ExpenseKit Support

Help with capturing receipts, organizing collections, and preparing reports.

Start with a collection

Tap New Collection, enter a name and start date, and optionally add an end date. Open the collection and tap Add Receipt. The Home Screen Scan Receipt quick action also needs a collection; with several collections, choose the destination.

Camera or scan trouble

Allow camera access in device Settings for ExpenseKit. Scanning requires a supported device; if unavailable, choose a receipt photo or import a PDF. Use good lighting and keep the receipt readable. Only the first page of a camera scan is attached. Add other scanned receipts separately; use PDF import for a multi-page document.

Review text recognition

Check the suggested merchant, date, and amount against the receipt. Tap recognized lines to assign values, then Apply. Choose Enter Manually when recognition fails. Save needs a merchant, a valid amount, and an attached receipt image or PDF preview. A duplicate warning checks matching merchant, day, and amount within that collection; review it before using Save Anyway.

Import a photo or PDF

Choose from Photos selects a receipt image; Import PDF uses a file you choose. Make sure the file is accessible through its provider and is a readable PDF. A cloud-backed photo or file may need to download through its provider. Tap the saved receipt image to view the image or attached PDF.

A shared receipt has not appeared

Share one supported image or PDF to the app’s share extension, select an existing collection or enter a new name, and tap Add Receipt. The system may label the extension ReceiptOrgShare. Open ExpenseKit to review and save the queued attachment. The extension does not automatically open the main app. Canceling review discards that queued import.

Find, group, or move receipts

Within a collection, search merchant, category, or notes; clear the search and category filter if entries seem missing. Use More for sorting, Combine Receipts, or Manage Receipts. Combining needs at least two receipts and a group name. Open a group to view original receipts or Separate Receipts. Moving entries to another collection clears their group assignments.

PDF creation or missing content

Open a nonempty collection and choose More → Export PDF. Provide a report title and filename, and enable Summary Page or Receipt Images. Expense Table requires Summary Page. Review which fields are included; Notes is off by default. Preview Report shows the actual result. PDF pages and long text may be scaled or truncated, so check readability. If creation fails, retry with fewer optional sections and check available device storage.

Totals or currency display look wrong

Totals sum saved receipt amounts. Check edited amounts, duplicate entries, category filters, and group membership. Currency formatting follows the device locale; the app does not convert currencies or maintain a separate currency for each receipt. Keep reports consistent and verify amounts before expense submission.

Back up before deleting or replacing the app

Use Settings → Export Backup and save the file somewhere you can retrieve it. Use Settings → Restore Backup to select a compatible ExpenseKit backup. Restore adds missing identifiers and skips ones already present; it does not overwrite existing records with older values. A restore error can mean an unreadable or incompatible backup. Keep an intact copy and confirm your restored records before relying on them.

Local records and deletion

ExpenseKit does not implement CloudKit synchronization. Its app records are stored on the device, so another installation does not automatically receive your collections. Apple device backup behavior depends on your settings; do not rely on it instead of making and checking an exported backup. Deleting a collection removes its associated app receipts. Deleting the app can remove local records. Originals in Photos or Files and already exported copies are separate.

Handle exported files carefully

PDF reports may include collection dates, counts, totals, selected receipt details, and full receipt images or rendered pages from attached PDFs. Hiding a report field does not remove that information from a receipt image. Backup files contain collection and receipt details, identifiers, dates, amounts, categories, notes, images, original PDFs, and combined-charge group information. These exported files are not encrypted by ExpenseKit.

Exporting or sharing is your choice. You select where the file goes through the Apple share sheet, including Files, iCloud Drive, AirDrop, email, or another available app or service. A non-Apple recipient you choose may access, store, or retain the copy under its own practices. Deleting the record in ExpenseKit does not delete an exported copy, and ExpenseKit cannot revoke or remotely delete a shared file.
